Data Retention Reminders for Faculty and Staff

As we begin the new school year, reviewing our data retention policies is crucial to ensure proper university data management. This overview – for faculty, specifically – covers the primary systems faculty use, but please refer to the university’s data services overview for complete information.

Storage Limit 2 GB per course shell
Retention Period 3 years
Key Policies
  • As faculty approach the storage cap, they’ll receive a notice. 
  • Large media files should be moved to Panopto
  • If faculty hit the storage cap and can’t delete anything, they should contact edtech@fordham.edu.

Google Workspace and Gmail

Storage Limit 40 GB for faculty and staff
Retention Period Gmail: Email sent or received via Fordham’s Gmail servers is retained for a period of eight years. Any messages that are over eight years old will be automatically deleted. Email Retention Policy

Microsoft One Drive

Storage Limit 50 GB (includes virtual desktop storage)

Panopto

Storage Limit Storage on Panopto is limited by time, as opposed to space.
Retention Period Standard videos: 

  • If no one accesses the video, it remains available for 20 months
  • After that, it remains in an archive for 10 months
  • If the owner does not restore it, it is deleted

 

Zoom meeting recordings: 

  • If no one accesses the video, it remains available for 24 months 
  • After that, it remains in a recycle bin for 3 months
  • If the owner does not restore it, it is deleted
Key Policy Accessing content (by anyone) resets the retention clock

Personal Devices and Backups

Remember to back up important data stored on personal devices regularly. For guidance on backing up data, please contact IT.

Exercise caution when handling sensitive or confidential data. Refer to the university’s data classification policy for proper handling procedures.
